Getting a card machine in the UAE is rarely held up by the provider. It is held up by paperwork. Applications that arrive complete are typically approved in 7 to 10 working days; applications missing one document can sit for weeks while emails go back and forth.
This is the full checklist, including what changes if you are a free zone company and the specific reasons applications get rejected.
The short answer
You will need a valid UAE trade licence, identification for the owners and authorised signatory, your company's constitutional documents, proof of address for both the business and the signatory, and a UAE corporate bank account for settlement. Established businesses are usually asked for three to six months of bank statements.
The full checklist
Company documents
- Valid UAE trade licence β current, unexpired, with activities that match what you actually do
- Certificate of incorporation or share certificate, depending on your structure
- Memorandum of Association (MOA) for LLCs and partnerships
- Power of Attorney, where the person signing is not an owner
Identification
- Passport copy and original Emirates ID for the authorised signatory
- Passport and Emirates ID copies for all partners or shareholders
- UAE residence visa pages for non-nationals
Address proof
- Entity address proof β typically a tenancy contract or Ejari for the trading premises
- Personal address proof for the signatory
Financial
- UAE corporate bank account details in the company's legal name β settlement cannot go to a personal account
- Three to six months of business bank statements for established companies
- Expected monthly card turnover and average transaction value β not a document, but you will be asked and it shapes your rate
Providers may request more depending on your sector. High-chargeback categories such as travel, events, education and anything with long delivery lead times routinely face additional checks on refund policy and delivery terms.
If you are a free zone company
Free zone companies can absolutely accept card payments, but the route is sometimes slower. Some banks and acquirers treat free zone entities as marginally higher risk, particularly where the business has no physical retail premises.
Practical differences to expect:
- Approval may take longer β plan for one to four weeks rather than assuming seven days
- Holding your business account with the same institution as your acquirer often smooths the process considerably
- If your company is new with no trading history, you may be asked for a security deposit or guarantee instead of bank statements
- For ecommerce acceptance, a verified website URL with visible terms, refund policy and contact details is usually required in place of physical premises proof
Why applications get rejected or delayed
In rough order of how often each one causes trouble:
- Expired trade licence. Even a licence expiring within the next few weeks can stall an application. Renew first.
- Licence activity mismatch. If your licence says general trading and you are operating a restaurant, expect questions. The activity on the licence should reflect what the terminal will actually process.
- Settlement account in the wrong name. It must be a UAE corporate account in the company's exact legal name. Personal accounts and accounts in a trading name are rejected.
- Missing Emirates ID for a silent partner. Every shareholder usually needs to be documented, including ones not involved in daily operations.
- No address proof for the premises. A tenancy contract or Ejari is expected for card-present businesses.
- Unrealistic turnover projections. Wildly overstating expected volume to secure a better rate tends to trigger scrutiny rather than a discount.
How to make it fast
A few practical habits that consistently save a week:
- Assemble everything before you apply. Submitting a partial application and filling gaps later is the slowest possible route.
- Scan in colour, full page, readable. Phone photos with glare or cropped edges get bounced.
- Check every expiry date β licence, visas, Emirates IDs, tenancy contract.
- Name files clearly. Sounds trivial; reviewers process dozens of applications a day and clarity genuinely helps.
- Have your turnover numbers ready. Monthly card volume, average transaction value and your rough local-versus-international card split.
Frequently asked questions
What documents do I need for a POS machine in the UAE?
A valid UAE trade licence, passport and Emirates ID for the signatory and all partners, Memorandum of Association, proof of address for the business and the signatory, and UAE corporate bank account details. Established businesses are usually also asked for three to six months of bank statements.
How long does POS approval take in the UAE?
Typically 7 to 10 working days from a complete application for a mainland company. Free zone entities and higher-risk sectors can take one to four weeks.
Can I get a POS machine without a UAE bank account?
No. Settlement must go to a UAE corporate bank account in your company's legal name. This is a regulatory requirement, not a provider preference.
Can a free zone company get a POS terminal?
Yes. Free zone companies can accept Visa, Mastercard and American Express. Approval may take slightly longer, and holding your business account with the same institution as your acquirer usually helps.
Can a new business with no trading history get approved?
Often yes. Without bank statements you may be asked for a security deposit, offered a higher rate, or given a lower initial processing limit that rises as you build history.
Do I need a physical shop?
For a card-present terminal, you will normally need proof of trading premises such as a tenancy contract or Ejari. For online-only acceptance, a verified website with visible terms, refund policy and contact details generally replaces that requirement.
Does my trade licence activity matter?
Yes, more than most people expect. Your licensed activity should match what you actually sell, because it determines your merchant category code, which in turn affects your rate and your risk assessment.
